Job Description

MAIN PURPOSE OF POSITION:
  • Serve as the face of the company, offering friendly service to those entering the building or calling in on the phone
  • Answering switchboard timeously, manage calls by routing them to the correct extensions or taking messages and passing them on via teams or email messages or connecting callers to staff members' cell phones.
  • Review and update the staff contact and telephone extension list for the Cape Town Branch and email it out as and when changes happen.
  • Updating the switchboard console data
  • Receiving visitors at the front desk by greeting and welcoming them, ensuring that they sign in the visitors’ book, and informing the relevant staff members of their arrival.
  • Assisting visitors with things they might need, e.g., guest wi-fi passwords
  • Maintain office security by following safety procedures and controlling access via the reception desk (manage the visitors' log of who is entering the building)
  • Ensure the reception area is tidy and presentable and is kept free of clutter, and make sure we have all the necessary stationery and material available (e.g., pens, forms, and brochures)
  • Accept deliveries and mail, organize them to be distributed to the correct recipients in a timely manner, while also managing outgoing mail and packages for pickup.
  • In the event of a fire and /or any other emergency requiring staff to leave the building, be responsible for ensuring that the visitors’ book and staff sign-in sheets are removed from reception and taken to the outside meeting point.
  • Manage daily staff attendance registration and circulate it to HR and your manager before 10 am.
  • Emailing birthday messages to staff on their birthdays

Boardrooms & Training Rooms
  • Manage boardroom and training room calendars
  • Prepare meeting and training rooms, check for cleanliness, assist in arrangements for catering provisions, and advise cleaning staff of any events or training taking place so they can manage the teas and coffees and ensure that the areas are kept free of clutter during events and arrange that rooms are cleaned after every event or meeting.
  • Ensure all windows and sliding doors are closed and that aircons and lights have been switched off at the end of every day.
  • Provide stationery for boardrooms, e.g., whiteboard markers and erasers
  • Back up for ordering office supplies from suppliers monthly, arranging payments where necessary, and submitting delivery notes to finance. Always check that the delivery note matches the delivery, e.g., Qty
  • Ordering of photostat paper monthly from First Tech Head office.
  • Arrange milk deliveries for Mondays, Wednesdays, and Fridays and submit delivery notes to finance. Always check that the delivery note matches the delivery e.g., Qty

Requirements:
  • Matric
  • Computer literacy
  • 2 - 3 years' experience on all Microsoft Packages especially Outlook & Excel. 
  • Minimum 2 - 3 years’ experience in reception or a Call Centre environment

Office Requirements:

  • Office-based working environment.
  • Semi-formal dress code.
  • Working hours are from 08:00 – 17:00.
  • Excellent international business language skills (English), both written and verbal.
  • Reliable transport to and from the office.

  • This is a permanent position subject to a successful three-month probationary period.
  • You will be required to perform such duties as reasonably required by the business.
